Visa invitation letters

Invitation letters can be provided on request once payment for registration has been made. We will endevour to send your visa letter within three weeks.

Should a visa not be granted a refund can be given in line with our Refund Policy.



Can I still register for this conference?

Unfortunately registation is now closed

Is my registration fee transferrable?

No,  we have now past the registration and refund deadline and names have been provided to our external venues and for printing purposes.

Is it ok if the name on my registration doesn't match the person who attends?

It is now past the registration deadline and delegates cannot be transfered. Delegates who attend without pre-registration may not be admitted.

Is VAT charged on ticket prices?

As an academic conference VAT is not charged on ticket prices.

I am a HESG member, do I get a discounted registration rate?

HESG members do get a discounted rate on all registration options. You must register for HESG membership before booking your place. We cannot refund payment if the full price is paid before becoming a member of HESG.

Can I purchase a day registration?

Due to the way conference costs and content is being managed we are unable to offer any day rates for individual days.

I can no longer attend, can I get a refund?

Please read our refund policy for terms and conditions of conference refunds.


Do I have to stay in the accommodation provided?

If you have booked a place which includes accommodation you will need to stay in the accommodation provided.  We cannot offer alternative accommodation as part of any package.

Can I add accommodation to my registration at a later date?

The accommodation being provided as part of the appropriate packages has now been confirmed. Accommodation cannot be added at this time.

Can I bring a partner or friend to stay with me in the accommodation?

Single occupancy accommodation has been booked. If you wish for a partner or friend to join you, you will need to book an additional room or discuss an upgrade when you check in at your own cost.

What time is hotel check in?

For those delegates who have registered including accommodation you may check into the hotel from 4pm on the 10th January. Bags and suitcases can be left in the conference cloakroom from 12pm onwards. The hotel is a 5 minute walk from the university premises.

Does the hotel booking include breakfast?

Yes the hotel booking for those delegates registered with accommodation includes breakfast.

Are there any facilities at the hotel?

There is a small pool and spa area for hotel guests.

When do I need to check out of the hotel?

For those delegates who have registered with accommodation, check out is by 11am on Friday 12th January. You may leave bags and coats in the conference cloakroom during the morning sessions.

I haven't booked accommodation, where should I stay?

Conference attendance and dinner

When do I need to arrive?

Registration with lunch is from 12pm – 12.30pm on Wednesday 10th January 2018. The registration desk will be open throughout the afternoon for later arrivals.

Where do I need to go when I get to the University?

You need to go to the main entrance in Northampton Square

I am arriving on the second or third day of the conference, what do I do?

On arrival at the University follow the signs to the main conference space and cloakroom area where you will be able to sign in.

Where is the conference dinner?

The conference dinner will take place in the Ladies Smoking Room and Gallery at the St Pancras Renaissance London Hotel, a 30 minute walk or short bus or taxi ride from the University.

The St Pancras Hotel has been used in several films include the Harry Potter franchise and for the Spice Girls Wannabe music video!

Is there a dress code for the conference dinner?

There is no dress code for the dinner, but the St Pancras Hotel requests smart casual  where possible.

I have special dietary requirements, what do I do?

All delegates were asked to provide dietary requirements at point of registration. These have been taken into consideration when ordering day time catering and have also been given to the dinner venue. If you have not provided dietary requirements please email events@city.ac.uk before the 3rd January and we will do our best to amend the catering bookings.

Is there Wifi available during the conference?

A guest wifi service will be available to all delegates. Delegates may also use Eduroam. The hotel for those delegates with accommodation also has guest wifi.

Can I get a certificate confirming my attendance at the conference?

Yes, all delegates will be given a certificate of attendance during the conference.

What time does the conference finish?

The conference finishes on Friday 12th January at 1.05pm. All delegates will be given a packed lunch to take away with them

How do I access the conference papers?

All delegates have been emailed log in details to access the conference papers. If you have not received this information please email HESG2018@City.ac.uk.
