All new and returning students of City, University of London are required to register for their course each year.

Registration is the official process to enrol as a student on your chosen course, and consists of five stages (all of which must be completed).

  • Stage One: Online Registration
  • Stage Two: Upload your ID documents
  • Stage Three: Activate your IT account
  • Stage Four: Have your ID verified
  • Stage Five: Collect your student ID card (on-campus study only)

Below you will find instructions on how to complete all stages of this process which will vary slightly depending on whether you are a British/Irish National or an international student.

Please be aware that the guidance below and process that you will need to follow is based on the given nationality that you added in your application form and not where you are normally resident or your agreed fee status.

Registration and Re-Registration for UK and Irish students

Stage One: Online Registration

All new and returning students of City, University of London are required to register online. Once you have an unconditional offer of a place on a course and the admissions staff for your course have received and logged your firm acceptance of that offer, you will be sent an email with a unique link to your registration portal from where you can start the process of registering as a student.

If you are a postgraduate student holding an unconditional offer, we expect invitations to start being sent from the week commencing Monday 7 August 2023 onwards.

If you are an undergraduate student holding an unconditional offer, we expect invitations to start being sent from the week commencing Monday 21 August 2023 onwards.

During the online part of registration, you will be asked to:

  • Confirm your personal details, such as name and date of birth
  • Confirm your course details
  • Update your contact details
  • Accept to abide by City's Ordinances and Regulations
  • Pay your tuition fees

If you have any problems or would rather complete this process in-person, then you may do so.

We will be running in-person sessions to assist students through the registration and ID check process daily from:

  • Monday 11 to Wednesday 13 September
  • Monday 18 to Wednesday 20 September
  • Monday 25 to Friday 29 September.

All in room D220, Rhind Building between 9:30pm – 4:30pm (sessions will close at 12:30pm on Friday 29 September).

Please note: You will not be able to register online for your course until you have received an email from the Registration team inviting you to do so.

You must also hold a formal and confirmed unconditional offer for your course to receive this invite. If you are unsure of whether your offer is unconditional, please contact your Admissions Officer.

Stage Two: Upload your ID documents

After you have completed the online part of registration you will then be required to upload your documents (passport, etc.) in order for us to verify your nationality and identity and also to ensure that you are eligible to study in the UK.

You must complete online registration before we can verify your identity and complete your registration.

What do you need to provide?

  • Registration confirmation - once you have completed online registration, you will receive an email confirming this. Within this email will be a secure personalised link which will take you to City’s e:Vision portal where you will be able to upload your ID documents.
  • A high-quality scan or photo of an original document to confirm your identity – this should usually be your passport. If you do not have a passport, please see this list of other acceptable documents.

You will receive an email notification to confirm that your ID has been successfully uploaded, which will inform you of the next steps.

If you have any problems or would rather complete this process in-person, then you may do so.

We will be running in-person sessions to assist students through the registration and ID check process daily from:

  • Monday 11 to Wednesday 13 September
  • Monday 18 to Wednesday 20 September
  • Monday 25 to Friday 29 September

All in room D220, Rhind Building between 9:30pm – 4:30pm (sessions will close at 12:30pm on Friday 29 September).

Stage Three: Activate your IT account

You will also need activate your IT account which will then allow you access to all of City's online services, including the Library, Moodle and your City email:

Stage Four: Have your ID verified

After uploading your documents, we will check your registration and confirm your identity, nationality and your eligibility to study in the UK for the duration of your course.

This will be done via the e-Vision portal with ID checks commencing from two weeks before the start date of your course, so that we can assist students in the order that their courses start.

If there are any queries about your ID documents, we will be in contact with you directly

Otherwise, once we have confirmed your identity, we will issue you with a formal confirmation of registration at City to your stated contact email address.

We will be running in-person sessions to assist students through the registration and ID check process daily from:

  • Monday 11 to Wednesday 13 September
  • Monday 18 to Wednesday 20 September
  • Monday 25 to Friday 29 September

All in room D220, Rhind Building between 9:30pm – 4:30pm (sessions will close at 12:30pm on Friday 29 September).

Please note: To ensure that priority is given to students in the order that they need to start attending classes at City, your ID documents will not be verified until two weeks before your start date.

Stage Five: Collect your student ID card (on-campus study only)

If you are joining City, University of London as a new student in 202/3/4, once your ID check has been finalised, you will receive a notification to confirm your fully registered status for your course.

Within this notification will be a link to a booking system where you will be asked to book a slot to come onto campus and collect your ID card by Friday 29 September 2023. If you are unable to collect your card by this date, you should follow the guidance below.

Between Monday 2 - Friday 6 October new and returning students will be able to collect ID cards from the Northampton Suite on the fourth floor of University Building.

For both new and returning students - if you are unable to book and collect your ID before Monday 10 October, you will need to go to the Student Centre to collect your ID card (no booking will be needed).

What happens if you do not complete registration?

If you do not complete stages 1 to 5 of registration within 3 weeks of the start of the course, your IT access will be withdrawn and you may be de-registered from City.

If you think you may be late completing registration and need more time, please contact the Course Officer for your course within your School or Department as this will need to be considered by your academic Course Director.

If you have any other questions regarding registration, please email the Registration team.

Only completing all stages (in order) confirms your membership with City.

Students who do not complete all stages and finalise their registration are deemed not to be students and are not permitted to start or continue their course, so please ensure that you meet all your registration obligations.

Re-registration for returning students UK and Irish students

All returning students of City, University of London are required to re-register (online) each academic year. As you pass from one academic stage to the next, you will be invited to register again for the subsequent stage of your course.

You’ll receive an email telling you when you are required to register and you will also see your registration status in e:Vision and can register as soon as you see it change to ‘incomplete’.

Completion of online re-registration for your course is mandatory for each year of study that you attend. If your course commences in September/early October 2023 then your final deadline to re-register is Monday 16 October 2023.

Failure to complete this process by the deadline may affect your continued place on your course. If you have any concerns about meeting this deadline, please contact your Course Officer as soon as possible.

Returning Students ID Cards

If you are a returning student, please check the end date on your current ID card to ensure that this covers up until to the end of the 2023/4 academic year.

If you card has expired or is due to expire shortly, please go to the Student Centre (2nd floor, University Building) presenting your current card.

Between Monday 2 - Friday 6 October, new and returning students will also be able to collect ID cards from the Northampton Suite on the fourth floor of University Building.

Registration and Re-Registration for International Students

As an international student, by law, we are required to check your Right to Study.

All new and returning international students of City, University of London are required to register for their course each year.

You must also hold a formal and confirmed unconditional offer for your course to receive this invite.

Stage Two: Upload your ID documents

After you have completed the online part of registration you will then be required to upload your documents (passport and relevant immigration category to allow you study in the UK).

Please provide a high-quality copy of original documents to confirm your identity and your Right to Study. Please see this list of other acceptable documents and instructions on how to upload your documents on the system.

If you do not have your visa issued by the point of your uploading your documents, please upload what you have and book your slot for in person registration.

Once you upload your documents online, you will receive an invitation email asking you to book your in person registration.

Stage Three: Activate your IT account

You will also need activate your IT account which will then allow you access to all of City's online services, including the library, Moodle and your City email:

Stage Four: Have your ID and immigration documents verified in person

Upon submitting your documents online, you will receive an email inviting you to join your in person registration. Please follow the link in the email or follow the link below to book your in person slot for registration. At the point of in person registration, you need to have all your documents available, including your BRP card (if applicable) and share code (if applicable).

When and where should I go?

The Visa Compliance team will be available in D112, Rhind Building from 9.30am till  4.30pm on the following days:

  • Monday 11 September 2023
  • Tuesday 12 September 2023
  • Monday 18 September 2023
  • Wednesday 20 September 2023
  • Saturday 23 September 2023
  • Monday 25 – Friday 30 September 2023*

* Please note that we will be open until 12.30pm only on 30 September.

From 2 October until 6 October, we will be available in the  Northampton Suite on the fourth floor of University Building. You can register every day that week from  10.00am to 4pm. (On Friday 6 October we will be closing at 12.30pm ).

We will also be available in the Northampton Suite on Monday 9, Wednesday 11, Friday 13 and Monday 16 October from 10:00 till 4pm for registration and ID collection.

During International Students’ Welcome Day, on Saturday 23 September, you will also have the opportunity to register and receive your Student ID card. You do not need to book for registration on this day. Please make sure you bring along all your relevant documents.

How do I book the registration slot?

Please book your slot before you come in. Please choose the date and the time that suit you the best but be aware that you must have completed stages one and two before your visit in order to be assisted. Make sure you bring all your original documents as below:

  • Passport
  • Visa Vignette
  • BRP card (if applicable ) or Share Code (if you used ID Check app)
  • Boarding pass (for those who entered the UK via the e-gates on Study Abroad programmes)
  • Official Evidence of a pending visa application with the Home Office if you have not yet received a decision on your visa application. This can be no older than 6 months. Please note we do not accept solicitors' letters
  • Visitor Visa (for short term study students only)

Deadline to complete your ID check

If you do not complete your ID check within 3 weeks of the start of your course, your IT access will be withdrawn, and you may be de-registered from City.

If you do not fully register and complete all five stages within the deadline, we are legally obliged to report this to the Home Office, who will then take action to curtail (cancel) your immigration permission (if applicable).

Stage Five: Collect your student ID card (on-campus study only)

When you come to complete in person registration (Stage 4) you will have the opportunity to collect your Student ID card at the same time.

What happens if you do not complete registration?

If you do not complete stages 1 to 5 of registration within 3 weeks of the start of the course, your IT access will be withdrawn and you may be de-registered from City. If you think you may be late completing registration and need more time, please contact the Course Officer for your course within your School or Department.

If you do not fully register and complete all five stages within the deadline, we are legally obliged to report this to the Home Office, who will then take action to curtail (cancel) your immigration permission (if applicable).

Re-registration for returning International students (EU and Non-EU)

All returning international students of City, University of London are required to re-register (online) each academic year. As you pass from one academic stage to the next, you will be invited to register again for the subsequent stage of your course.

You’ll receive an email telling you when you are required to register, but you will also see your registration status on your e:Vision portal and can register as soon as you see the status change to ‘incomplete’.

Please check your immigration documents that we have on your record, by logging into the E:Vision and update it, in case anything changed. Please upload your most relevant passport if different and BRP card or Share Code (if anything changed since last time you completed registration).

In some cases International Students will also be required to complete a new ID check once your online re-registration is completed. If this is required, you will receive an email from the Visa Compliance Team. Please respond as soon as possible.

What happens if I don’t complete re-registration?

If you do not register by the ultimate deadline of 16 October 2023, your IT access will be withdraw  and you may be de-registered from City.

If you think you may be late completing re-registration due to unforeseen circumstances, please contact the Course Officer for your course within your School or Department.

If you have any issues with payment or arrival to the UK, please speak to your Admissions Officer/Course Officer at first instance

Returning Students ID Cards

If you are a returning student please check the end date on your current ID card to ensure that this covers up until to the end of the 2023/4 academic year. If you card has expired or is due to expire shortly please go to the Student Centre (2nd floor, University Building) presenting your current card.

Between Monday 2 - Friday 6 October new and returning students will be able to collect ID cards from the Northampton Suite on the fourth floor of University Building.

You could also come to the Northampton Suite on the following days: Monday 9, Wednesday 11. Friday 13 or Monday 16 October to collect your ID cards.

For both new and returning students -  if you are unable to book and collect your ID before Monday 16 October, after this date you will need to go to the Student Centre to collect your ID card - no booking will be needed.
