These guidelines are for Schools and those students who are recipients of a Doctoral Studentship. They complement existing institution guidance and regulations on research degrees.

The Doctoral Studentship scheme is overseen by the Research Office.

Type of award and duration

The Studentship is a three-year award for full-time study on a doctoral degree programme.

Start date and deferral

Studentship recipients normally take up their award at the start of the academic year for which they applied and were made an offer. They may exceptionally start at a later date during the same academic year with the agreement of the School. The very latest they can start on the Studentship is at the beginning of the following academic year, if sufficiently strong grounds for a deferral are provided and approved by both the School and the institution.

If a recipient is unable to begin the Studentship within this time frame, they must relinquish the award (but they may still retain their place on the doctoral programme with the agreement of the School).

Bursary payments

Recipients are paid their bursary monthly on the last working day of the month. Funds are made available by the institution to Schools which are responsible for arranging for payments to be made to individual recipients.

If a recipient does not receive their full bursary payment as expected, they should immediately inform the relevant School contact for current students.

The School will notify the recipient of the supervision arrangements.

If a change is made to the main supervisor for whatever reason, the replacement should have a similar profile and be able to take on an additional student. Schools should inform the Research Office of any change to the supervisors.

A cross-School, interdisciplinary Studentship involves supervisors from across the institution. The recipient will be registered with the School of the main supervisor but it is expected that the recipient will receive support and training as appropriate from all the participating Schools. The supervisory arrangements should be agreed by the Schools before the recipient registers as a student. If any of the supervisors change, the Schools will have to agree on suitable replacements.

Co-sponsored arrangements

The main supervisor and the School are responsible for ensuring that the recipient and the institution keep to the terms of the co-sponsorship including the provision of any progress reports requested by the sponsor. The Research Office can advise as appropriate.

Maternity, paternity or adoption leave

City's existing policy for Studentship recipients who wish to make use of maternity, paternity or adoption leave can be summarised as follows:

  • Maternity or maternal adoption leave is a four-month period during which bursary payments will continue to be paid. The four months will be added to the Studentship period. The recipient can request an additional period of unpaid suspension to run afterwards. The School must notify the Research Office in advance of such leave being taken.
  • Paternity or paternal adoption leave consists of two weeks of paid leave (without an extension of the award) at any time during the pregnancy or within three months of childbirth or within three months of the adoption.

If a studentship recipient is prevented by sudden illness or accident from following their studies for a period of more than two weeks, they should provide the School with a medical certificate. The stipend will then be paid for the period covered by the medical certificate for up to 13 weeks within any 12-month period. If the illness lasts, or is expected to last, for more than 13 weeks, the studentship will be suspended.

The Studentship is designed to support full-time registration. Recipients may be asked to undertake teaching duties by the School (normally in the second and third years, following appropriate training and development during their first year) as part of their award. If the duties undertaken in the second and third years would attract payment of more than £2,000 (the contribution of the School to the bursary in those years) based on the normal hourly rate, the student should be paid for any hours over and above this. They are not normally permitted to undertake paid employment outside the institution.

A recipient can be involved in an externally funded research project where the Principal Investigator or Co-investigator is a City academic and is preferably one of the supervisors. The work should be relevant to the recipient's doctoral research and should not distract them from successfully completing their degree on time. The recipient's time should be budgeted at an appropriate level as a directly incurred staff cost. The recipient must be paid for their work and funds owed to them cannot be withheld or used for another purpose.

The total amount of time that a recipient can spend on teaching and/or contributing to a funded research project cannot exceed more than an average of six hours per week in the course of a year.

Recipients must inform their School if they receive or are applying for a grant or an award from another body to support their doctoral study. They must not hold two awards for the same purpose concurrently.

Studentship recipients are given a one-off allowance of £1,000 at the start of the award. The allowance may be used at any time across the three-year period to support research needs such as specialist training, equipment or conference attendance. Recipients are advised to consult their supervisors on how best to use these funds.

Standard institution purchasing procedures and expenses policies apply to the allowance. Studentship recipients are strongly advised to discuss their plans with their School contact before spending any money. Any expenditure which does not meet institution policy cannot be refunded.

Travel and subsistence claims can be made using the miscellaneous payments form (doc). The completed form and receipts should be submitted to the relevant School contact for current students.

IT equipment would normally be purchased through IS Purchasing but external providers may be used if appropriate and with the agreement of the School Dean.

Equipment bought with the allowance is normally for the personal use of the recipient and remains their property after completion of the Studentship. Specialist equipment and software licences may be purchased and retained by the School with funds from one or more Studentship allowances only in the following circumstances: the equipment is directly relevant to the research of the participating recipients; approval is given by the recipients and the Research Office in advance.

AV equipment is available through the institutions loan scheme. Requests to purchase AV equipment with allowance funds can be considered only for specialist devices which are essential for conducting the research.

Disabled student support

Studentship recipients who believe that they require additional support for their doctoral studies because of a disability should contact the Learning Success office in the first instance.

If the Disability Service advisers believe that the recipient requires a needs assessment, the institution will fund this to the maximum of £500 (inc. VAT). Based on the needs assessment, the Disability Service advisers will advise the Research Office on the recipient's requirements and provide quotes as necessary

Schools are strongly advised to direct to the Learning Success office those students who may require additional support as soon as a potential need is identified. This is to avoid delays in having the necessary arrangements in place.

The institution is unable to provide funds for the retrospective purchase of any equipment, facilities or personal assistance in connection with a student's disability.

Progression, suspension and withdrawal

Studentship awards should be held continuously for three years. Annual confirmation by the School to the Research Office of satisfactory progress is required in order to confirm continuation of the bursary. If a recipient does not transfer to the writing-up stage after three years of full-time study (or equivalent if they have had a period of leave or suspension), they will become responsible for any tuition fees.

It may be necessary for a recipient to have an approved period of suspension in which case bursary payments will be stopped for the approved period. Once the recipient resumes study, bursary payments will recommence and the period of suspension added to the length of the Studentship.

If the recipient withdraws or if their registration is terminated, the Studentship will end and they will be expected to reimburse the institution any excess amount in bursary payments.

In the case of any change in circumstances affecting registration and/or bursary payments, the recipient must notify the School as soon as possible, and the School must then notify the Research Office.

Writing-up and submission

Recipients should move to the writing-up stage when the Studentship ends, subject to confirmation by the School that this is appropriate. They are then expected to submit their thesis within 12 months.

During the writing-up period, the School may provide a fee waiver for a maximum of 12 months.
